This Policy applies to the KungFu.Life website, member platform, community, online courses, live classes, workshops, events, communications and related services operated by Xin Sunfield Ltd.

It does not apply to third-party websites or services that may be linked from our website. Those services have their own privacy policies.

Where you have a historic relationship with KungFu.Life Limited, we will provide separate information if responsibility for your personal data is transferred to Xin Sunfield Ltd as part of a service transition.

KungFu.Life is intended for adults aged 18 and over.

We do not store your full payment-card details. Payments are processed by secure payment providers.

• Live-class attendance
• Your name, image or voice where you choose to use your camera or microphone during a recorded live class

We will let you know when a live session is being recorded. Recordings may be made available to eligible members as replays. We will seek your permission before using identifiable recordings, photos or community content for external promotional purposes.

Communications

• Feedback, testimonials, surveys and reviews you choose to provide

KungFu.Life is not a medical service or healthcare provider.

Please do not post medical, health, injury, mental-health or other sensitive personal information in the community.

We do not normally require health information for our online membership services. Where you voluntarily provide health information, for example in relation to an in-person event, we will explain why we need it and, where required, seek your explicit consent.

• process payments, memberships, bookings and refunds;
• provide access to courses, classes, community spaces and purchased services;
• send important account, payment, security and service-related messages;
• respond to your questions and provide member support;
• manage live classes, replays, assessments, examinations and certificates;
• keep the Platform safe, prevent fraud and enforce our Terms and Community Guidelines;
• improve our website, services, learning experience and member support;
• meet legal, tax, accounting and regulatory obligations; and
• send optional marketing communications where you have opted in or where otherwise permitted by law.

Essential service communications

We may send you essential emails about your account, purchase, payment, membership access, live-class changes, security, cancellations or material changes to a service you have purchased.

These are service communications rather than marketing, and you may continue to receive them while you hold an active account or membership.

Marketing communications

Our newsletters may include Shaolin inspiration, wellbeing tips, new programmes, live-event news, invitations and occasional offers.

We will send these only where you have opted in or where otherwise permitted by applicable law. You can unsubscribe at any time using the link in the email or by contacting us.

7. Our Legal Bases for Processing

• Stripe — payment processing;

• Zoom — live online classes, where used;
• Vimeo and YouTube — video hosting or delivery, where used;
• professional advisers, including accountants, legal advisers and IT support providers;
• public authorities, regulators or law-enforcement bodies where we are legally required to do so.

Our service providers are only permitted to use your information in accordance with our instructions, their contractual obligations and applicable data-protection law.

Some of our service providers may process personal information outside Ireland or the European Economic Area.

• Account, membership and learning records: while your account remains active and for up to seven years after your last active membership, purchase or meaningful interaction with us, so that returning members may restore their account, learning progress, badges and relevant course history.
• Support correspondence: for up to 24 months after the matter has been resolved.
• Marketing records: until you unsubscribe or withdraw consent, or for up to 24 months after your last meaningful interaction with our marketing communications.
• Financial, tax and invoice records: for at least six years, where required for accounting and tax purposes.
• Certificates and examination records: We may retain a core record of certificates and examination outcomes indefinitely for the purpose of verifying qualifications, preserving the integrity of KungFu.Life awards and maintaining our long-term student record. This core record may include the student’s name, certificate or award title, level, date awarded, certificate reference number and result. More detailed assessment materials, such as marking sheets, written feedback and examination recordings, will normally be retained for up to seven years.
• Community posts and live-class recordings: for the relevant access or replay period, or until they are no longer needed for the purpose for which they were collected.

We may contact you before deleting an inactive account to give you an opportunity to keep your account and learning record available, unless you ask us to delete your information or we are required to remove it sooner.

Some parts of the Platform may automate ordinary actions, such as granting course access, recording lesson completion or issuing a badge. These actions do not involve decisions with legal or similarly significant effects.

Where changes are material, we will take reasonable steps to notify active members by email or through the Platform. The latest version will always be available on our website.
